Privacy notice
What we hold, why we hold it, and how to have it removed. This notice covers members, convention registrants and anyone who asks us for an invitation letter.
WICUDA Europe, the Wimbum Cultural and Development Association in Europe, is the data controller. The association, not any individual officer, owns this website, its domain and its accounts.
Convention registration. We collect your name, email, phone, country and city of residence, party size and any notes you give us. The lawful basis is contract: we cannot give you a place at the convention without it. We keep registration records for six years for accounting purposes.
Invitation letters. Where you ask us for a letter to support a Schengen visa application, we collect passport number and expiry, nationality, date and place of birth, home address and travel dates. This is held separately from your registration, is visible only to executive officers, and is deleted twelve months after the convention closes.
Email updates. We email you only where you have ticked the consent box. The lawful basis is consent, and you may withdraw it from the link in any email.
Announcements board. Bereavement and celebration notices are published only after an officer reviews them. Contact details you supply are used to verify the notice and are not published unless you ask us to.
Photography. Photographs and video taken at conventions are covered by our photo consent notice.
You have the right to access, correct, export or erase your data, and to complain to your national supervisory authority. Write to the executive through the contact page and we will respond within one month.
